Role purpose
This is a blended role designed to provide a seamless service across HR & Payroll needs for the business, to ensure accuracy, compliance and a consistently high standard of support.
This is a new role combining functions as we move towards a shared services structure within the HR team. You will be working closely with the CPO on People Strategy & projects across The Exclusive Collective, whilst being responsible for all day to day HR & EU Payroll needs within onefinestay, bringing in support from shared services colleagues on aspects such as recruitment, people operations etc as needed.
This is a hands on role where you will be responsible (with the CPO) for implementing the people strategy within onefinestay, partnering with senior leaders to manage any people issues (escalating to the CPO as needed) whilst ensuring HR & payroll processes are run efficiently, accurately and in compliance with local legislation.
Who we’re looking for
This role will suit someone with solid experience in generalist HR, covering the full employee lifecycle, preferably gained in a fast paced, global business with a primary focus on the UK, France, Italy and awareness of US requirements (although US HR support is provided within shared services). You will have good knowledge of employment law across the locations with a willingness to be resourceful and keep up to date with changes. The successful candidate must also have experience of running & managing payroll.
You will understand that to be an effective HR professional you will be managing many topics, the variety is high and will mean dealing with strategic projects as well as completing the necessary administration to ensure a thorough and complete process.
You know best practice and constantly strive to achieve high standards. Details matter and you are a diligent individual with high attention to detail and accuracy in all aspects of HR & payroll including mathematical calculations. You are able to switch between people and numbers quickly, with an analytical mind.
You are proactive and highly organised, managing your workload effectively, raising issues as appropriate with the CPO for visibility & guidance. We value ownership & accountability and people who want to make an impact.
You will be an excellent communicator, with the ability to build relationships with leaders & teams across a global business, remaining calm under pressure when handling complex employee matters. You will have high integrity, managing highly confidential information and acting with high ethical standards and be confident presenting to senior leaders across the business.
Duties and responsibilities
HR
● Support the CPO to deliver the people strategy & develop the culture within onefinestay
● Provide guidance and support to all employees within onefinestay, working with our US counterparts as needed
● Working closely with leaders & managers within onefinestay to ensure compliance with policy and legal requirements, coaching and developing their people management skills
● Responsible for initiatives to support management development
● Working with shared services to co-ordinate support for recruitment, L&D etc
● Producing weekly reports and proactively review people data to highlight areas of improvement & focus
● Responsible for implementing culture initiatives and co-ordinating across regions
● Manage all employee relations / performance management cases, probation reviews etc across the business to ensure a proactive approach, minimising risk to the business
● Responsible for ensuring the smooth on and offboarding for employees
● Office management tasks for the London office (access passes, liaising with management company and landlord regarding office issues)
Payroll & Benefits
● Undertake all activities required to run the UK & EU payrolls for onefinestay, ensuring accuracy and compliance with regulations
● Working with an external provider for payroll processing, ensure they are meeting service requirements
● Managing payroll jira tickets, ensuring the necessary approvals
● Liaison with other teams such as finance and external payroll provider and / or agencies such as HMRC for payroll matters
● Processing payrolls in accordance with our contractual obligations to ensure accurate and timely payments
● Prepare & review payroll reports, liaise with Finance regarding payment processing
● Managing all benefits admin for international locations, including pension plans.
● Assist with annual / year end processes (P60s, PSA reporting etc)
● Keeping up to date with legislative changes that affect international payrolls
Projects and Other
● Support the transition to shared services
● Opportunity for involvement with projects across The Exclusive Collective
● Administration as required
Qualifications & Experience
● Solid experience in all aspects of HR to be able to manage cases independently
● Experience of supporting culture development, leading initiatives to create a performance culture
● Experience with HR & Payroll systems, Bamboo, ADP, Deel etc
● CIPD or equivalent HR professional qualification
