SUMMARY  

The Payroll & Benefits Specialist is responsible for the timely processing of 2 x monthly payrolls for team members using the ADP Celergo and Moorepay payroll systems. This role will also include the management of benefits functions supported by an external benefits bureau who assist in supporting the benefits portfolio pivotal to business operation. 
 

KEY DUTIES & RESPONSIBILITIES  

Payroll 

  • Process 2 x monthly payrolls for circa 650 team members including engineers with overtime/shifts etc.
  • Manage & process timesheets, including liaising with contract support, team leaders and contract managers when issues arise. 
  • Responsible for accurate processing of all payroll elements including but not limited to team member pay, payroll deductions and remittances. Occasionally arranging with Finance, payments outside of payroll (calculating NI & tax).
  • Ensure accurate costing information reports from payroll are provided to the Finance Director. 
  • Process CSA payments along with Attachment of Earning Orders (AEO).
  • Assess team member eligibility for workplace pension, process pension payment contributions and ensure pension compliance. Check for pension opt in and opt out. 
  • Perform calculations for items including but not limited to payroll deductions and remittances.
  • Submit Full Payment Submissions (FPS) monthly along with any FPS adjustments. 
  • Action leavers, processing final pay and P45.
  • Action new starters, ensuring enrolment in good time.
  • Manage year end tax procedures and ensure returns are filed with HMRC. 
  • Record sickness absences/annual leave and process maternity, paternity, adoption and shared parental pay. Calculate occupational sick pay, SSP and unpaid leave. 
  • Conduct audit of payroll records to ensure integrity and compliance with all requirements.

Benefits 

  • Process Salary Sacrifice Benefits such as pension, childcare vouchers, Cycle to Work, Gym Flex etc. 
  • Manage benefits tracking for starters and leavers.
  • Liaise and implement benefit schemes with advice and guidance from external benefits bureau who arrange new benefits as/when required.
  • Oversee the management of the UK fleet portfolio and associated benefits (fuel card, car parking etc), in collaboration with the Senior Manager – Fleet, Canada.
  • Keep People & Culture Director and Finance Director informed of insurance renewals.
  • Collect Expression of Wish forms and forward to the life insurance broker.

     
  • Other duties as assigned.

 

KNOWLEDGE & SKILLS 

  • College diploma with 3-5 years of related work experience.
  • Knowledge of UK Payroll and HMRC rules and regulations.
  • Strong attention to detail and accuracy.
  • Able to work to tight deadlines
  • Ability to administer and process according to established procedures and requirements.
  • Ability to identify, investigate and resolve payroll related issues.
  • Strong organizational skills and communication for the purpose of data exchange, clarification and dispute resolution.
  • Ability to exercise tact and discretion in handling and communicating sensitive and confidential information.
  • Proficient with payroll systems preferably ADP Celergo and Moorepay along with the ability to learn new applications quickly.  Proficient with MS Outlook, Word and Excel (intermediate/advanced).

 

Licenses and/or Professional Accreditation

 

  • CIPP Foundation Degree in Payroll Management (completed or in process) considered an asset.
