Full job description
Overview
  • Receive and consolidate payroll inputs from HR (starters, leavers, changes, variable pay, absences).
  • Oversee international payroll for 150 people
  • Validate and approve all inputs against authorised documentation (signed offer letters, leaver forms, change forms).
  • Submit payroll instructions to external bureau within the agreed cut-off deadline for each country.
  • Review draft payroll output from bureau, check gross/net pay, deductions, statutory amounts, pension contributions.
  • Approve final payroll run and confirm payment release.
  • Distribute payslips / earnings statements to employees via payroll portal.
  • Reconcile payroll to prior period and investigate variances.
  • Provide Finance with payroll journals and cost reports for each entity.
  • Ensure statutory filings and remittances are completed by relevant deadlines (PAYE, 941, payday filing, loonheffing, Lohnsteuer etc.).
  • Retain payroll records in accordance with local data retention requirements.

  • Manage annual open enrolment / renewal cycles and communicate changes to employees.
  • Liaise with insurance brokers and providers for renewals, claims, and queries.
  • Ensure benefit deductions are correctly reflected in each country payroll.
  • Report taxable benefits to relevant tax authorities
  • Manage employee queries related to medical, dental, life, disability, and pension schemes.
Pensions
  • Ensure all eligible employees are correctly enrolled in the applicable pension / retirement scheme.
  • Submit contribution files to pension providers within required timelines following each payroll run.
  • Manage opt-outs, re-enrolments, and contribution rate changes in line with local rules.
  • Reconcile pension contribution payments to payroll deductions monthly.
  • Support annual pension reporting requirements
  • Act as primary contact for pension providers and advisors.
