POSITION SUMMARY
The Specialist II Total Rewards & LOA/ADA is responsible for the day-to-day administration and coordination of leave of absence and accommodation programs, including FMLA, STD, LTD, state-specific leave, ADA accommodations, parental leave, and other company-sponsored leave programs. This role partners with associates, managers, HR Business Partners, Payroll, and third-party vendors to ensure accurate case tracking, documentation, pay continuity support, and compliant end-to-end processing. The Specialist II also supports total rewards processes (compensation, benefits, recognition) through reporting, analysis, and program administration, with a primary emphasis on LOA/ADA execution, process integrity, and continuous improvement. The role handles sensitive information with discretion and helps maintain compliance with applicable federal, state, and local laws and internal policies.

 

DUTIES AND RESPONSIBILITIES

 

  • Leaves of Absence/ADA
    • Coordinates end-to-end ADA case administration, including intake, eligibility review support, documentation tracking, designation notices support, and accurate case status updates in HR systems.
    • Serves as a primary point of contact for associates, managers, HR Business Partners, and Payroll regarding LOA/ADA processes, required documentation, timelines, and general policy guidance; escalates complex, high-risk, or sensitive cases as needed.
    • Supports ADA accommodation workflows by tracking the interactive process steps, maintaining documentation, coordinating required forms, and partnering with HR and business leaders to support timely completion.
    • Supports pay continuity by coordinating information flow between vendor(s), HR, and Payroll (e.g., leave dates, return-to-work status, disability benefit status) and assisting with reconciliations to identify and resolve exceptions.
    • Maintains confidential LOA/ADA records and trackers; performs audits and quality checks to ensure accuracy, completeness, and adherence to privacy expectations.
    • Prepares recurring and ad hoc reports on LOA volumes, trends, timeliness, and compliance; identifies root causes, recurring issues, and opportunities for process improvement.
    • Assists with maintaining LOA/ADA standard work, job aids, and communications; supports training and change management for new/updated processes or vendor changes.
    • Stays current on relevant federal, state, and local leave and accommodation requirements and helps support updates to procedures and communications as needed.

 

  • Total Rewards
    • Provides day-to-day support for total rewards processes and tools as assigned (e.g., compensation planning support, job evaluation coordination, recognition, and benefit-related administrative initiatives).
    • Completes compensation and/or benefits reporting and ad hoc analyses; summarizes findings for review.
    • Supports annual cycle activities (e.g., merit and incentive processes) through data preparation, validation, and coordination of timelines and communications.
    • Assists with documentation, controls, and process improvements; maintains data integrity in HRIS and related tools through audits and reconciliations.

 

BASIC QUALIFICATIONS

  • Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent combination of education and experience.
  • 3–5 years of experience in total rewards, compensation, benefits, HR analytics, or a related HR specialty.
  • Working knowledge of FMLA, ADA, and disability/leave program administration concepts; ability to apply policies consistently and escalate risks appropriately.
  • Experience partnering with third-party leave/disability vendors and coordinating across HR, Payroll, and operations stakeholders.
  • Intermediate to advanced Excel skills (e.g., pivot tables, lookups) and experience working with large datasets; comfort producing recurring and ad hoc reports.    
  • Strong analytical, communication, and customer service skills; ability to handle sensitive information with discretion.
  • Working knowledge of compensation and/or benefits fundamentals; understanding of confidentiality requirements and data privacy expectations.
  • Experience using HRIS and reporting tools to extract, validate, and analyze data.
  • Strong analytical, communication, and collaboration skills.

 

 

 

 

PREFERRED QUALIFICATIONS

  • Experience supporting a high-volume LOA/ADA environment in a multi-site or retail/field operations setting.
  • Knowledge of state leave programs and how they interact with FMLA/STD/LTD and company policies.
  • Experience supporting intermittent leave tracking and operational scheduling/timekeeping coordination.
  • Experience with process improvement, audit/controls, or automation (e.g., dashboarding, workflow optimization).
  • Experience supporting total rewards processes (compensation, benefits, recognition) as a secondary responsibility.
  • Experience with job evaluation methodology and/or market pricing tools/surveys.
  • Knowledge of benefits administration concepts and vendor partnerships.
  • Retail, multi-site, or large workforce environment experience.

EDUCATION

  • Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent combination of education and experience.

SKILLS AND ABILITIES

  • Demonstrated ability to manage sensitive, complex cases with professionalism, empathy, and discretion while maintaining compliance and consistency.
  • Strong working knowledge and practical application mindset for LOA/ADA processes, documentation requirements, and timelines; able to identify risk and escalate appropriately.
  • Excellent attention to detail with the ability to produce accurate work under deadlines and in high-volume environments.
  • Effective written and verbal communication skills; able to explain processes clearly to associates and managers and build trust with stakeholders at multiple levels.
  • Strong analytical skills, including data reconciliation and trend reporting; ability to translate findings into actionable insights.
  • Ability to manage multiple priorities, organize work, and follow established controls and standard work; continuous improvement mindset.
